As an Office Coordinator, you will be at the heart of our operations, contributing to our success and helping us achieve our goals.

Responsibilities:

  • Oversee and manage all office administrative tasks, ensuring a seamless and efficient workflow.
  • Supporting Customer Care with greeting and assisting visitors, clients, and employees with a friendly and professional demeanour.
  • Answer incoming calls and direct them to the appropriate individuals or departments.
  • Curation and management of weekly Debtor reports including discussing financial resolutions directly with clients in debt.
  • Payroll processing
  • Support accounting and finance departments with basic bookkeeping tasks.
  • Familiarity with basic bookkeeping or accounting principles is a bonus.
  • Monitor and maintain office supplies, ensuring stock levels are adequate and reordering when necessary.
  • Handle incoming and outgoing mail and packages efficiently and accurately.
  • Assist in organisation of company events and employee engagement activities.
  • Maintain and update office records, files, and databases.
  • Collaborate with the Practice Manager for new employee recruitment, onboarding and orientation.
  • Liaise with trades and vendors for building maintenance and repairs.
  • Uphold and enforce office policies and procedures.

About you

  • Excel at cultivating internal and external client relationships.
  • Proficient in handling challenging or sensitive conversations.
  • Proven experience in office coordination or administrative roles.
  • Previous experience in a veterinary practice highly regarded.
  • Excellent communication skills, both written and verbal.
  • Exceptional organisational and time management abilities.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to handle multiple tasks simultaneously and prioritise effectively.
  • Positive attitude, strong interpersonal skills, and a collaborative team player.
  • Problem-solving mindset and ability to make informed decisions independently.
  • Ability to maintain confidentiality and handle sensitive information professionally.
